Summary of Position
The Office Manager for Keep Jackson Beautiful plays a crucial role in the organization's operations, focusing primarily on funding pursuits and administrative support. The Office Manager will be responsible for the assisting director with fundraising campaigns including sponsorship, corporate giving, foundation and state agency grants, and special events. The Office Manager will also work with mission related organizations to grow citywide partnerships and with the Solid Waste Division on the litter prevention contract.
GOAL OF POSITION
The goal of the position is to expand and grow sustainability of our natural and built environment, beautification, litter prevention and waste reduction programs in Jackson to benefit the Jackson communities and residents.
Job Duties
Funding:
Pursuing funding opportunities from Federal, State, and local sources to support funding programs.
Assisting the Executive Director in developing and executing a comprehensive fundraising program.
Compiling a list of potential members, sponsors, and donors.
Identifying and researching corporate prospects, including their giving histories and associations.
Maintaining a database of membership and sponsorship lists.
Administrative Support:
Performing high-level clerical duties, such as writing membership letters and proofreading correspondence for the Executive Director's approval.
Assisting with community outreach activities approved by the Executive Director, such as attending meetings and special events.
Coordinating and providing input on program strategies.
Relaying requests or information concerning Keep Jackson Beautiful to the Executive Director.
Filling in for the Executive Director at events or meetings when necessary.
Assisting with preparing reports required by Keep America Beautiful.
Maintaining the organization's website, e-news articles, and other outreach tools to promote KJB programs and activities.
Staying updated on relevant current events, legislation, and other information.
Other Responsibilities:
Acting as a liaison or representative to the public, government agencies, city departments, organizations, businesses, and associations.
Traveling to annual national conferences and other meetings as required.
Assisting in the development and implementation of strategic plans.
Building relationships with the media.
Developing press releases, programs, and written materials for the organization.
Serving as a contact person and information hub for all committee activities.
Performing other related duties as assigned by the Executive Director.
Overall, the Office Manager plays a vital role in supporting the Executive Director, ensuring smooth operations, and contributing to the organization's growth and success.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of: non-profit operations knowledge; volunteer management; standard office practices; business English and math; environmental issues; public relations; and standard grant administration procedures. Knowledge of the City, strong supervisory and leadership skills, excellent interpersonal and customer service skills.

Ability to; be creative, forward thinking, operate personal computer using standard word processing and spreadsheet software (Microsoft Office); utilize and run reports in database software; demonstrate proficiency in both oral and written communication, including public speaking; interact comfortably and tactfully with the public; prepare and implement budgets; establish and maintain effective working relationship with co-workers and representatives of various governmental agencies; and organize multifaceted events; ability to stoop, squat, and lift and maneuver 40 pound boxes overhead. Maintain appropriate driver’s license applicable to job responsibilities and have a good driving record.
